Position Overview

The Office Manager oversees daily administrative operations of the training facility, ensuring efficient systems, accurate documentation and ongoing compliance with RTO regulatory requirements while supporting staff, students and management.

Duties and Responsibilities

  • Manage day-to-day office operations to ensure efficient and professional administration of the training facility.
  • Oversee student enrolments, file management, documentation control and record keeping in accordance with RTO compliance standards.
  • Maintain training records, attendance registers, assessment documentation and compliance files in line with regulatory requirements.
  • Coordinate trainer schedules, staff meetings, inductions, and internal communications.
  • Liaise with trainers, assessors, students, compliance consultants and external stakeholders.
  • Monitor and maintain policies, procedures, and internal management systems.
  • Manage office supplies, equipment servicing, facilities maintenance, and workplace health and safety requirements.
  • Support financial administration, including invoice processing, expense reconciliation, and supplier coordination.
  • Prepare reports, perform data entry, and assist management with operational tracking.  
  • Supervise and provide guidance to administrative support staff where applicable, ensuring tasks are allocated effectively, and office operations run smoothly.  Maintain and improve office administrative systems and procedures to support efficient documentation management, compliance requirements and operational workflow within the training organisation.
  • Act as the primary point of contact for administrative enquiries and operational matters.

Requirements

  • Relevant qualification in Business Administration or Management (Diploma or higher preferred).
  • Minimum 1-2 years’ experience in an Office Manager or senior administrative role.
  • Experience within a Registered Training Organisation or the education sector is preferred.
  • Strong understanding of compliance, documentation management and regulatory requirements.
  • Excellent organisational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office and student management systems.
  • Ability to work independently and manage competing priorities.
