Reporting to the Director, you will keep the company's job, client and workforce information complete and reliable, build and maintain the systems that hold it, prepare the reports management uses to plan teams and price work, and review how the business is organised so that scheduling, administration and service delivery run more efficiently. The role suits an organised, analytical professional with experience managing business information, strong Excel and systems skills, and the ability to turn operational data into clear advice. If you are interested in this opportunity, please send your resume and a cover letter outlining your relevant experience - Subject: "Information and Organisation Coordinator - [Your Name]".</p><br><h3>Benefits</h3><ul><li>Competitive salary of $75,000 - $85,000 per annum plus superannuation</li><li>Full-time, permanent position in a growing local business.</li><li>Direct reporting line to the Director with real ownership of the company's information and reporting.</li><li>Opportunity to design the systems and procedures of a business expanding its commercial and residential client base.</li></ul><br><h3>Task & responsibilities</h3><ul><li>Coordinating and maintaining the company's business information, records and operational documentation, including client profiles and service histories, job schedules, cleaning checklists and site instructions, staff and supplier records and compliance records, so that they are complete, current and easy to retrieve.</li><li>Developing and maintaining the systems used to organise job, client and workforce information, including the online booking and quoting platform, the customer database and the rosters and availability records of the cleaning teams, with defined data structures, data-quality checks and user procedures.</li><li>Maintaining accurate and confidential business records, including client contact and access details, employee records, supplier terms and financial information, in line with privacy obligations and the company's record-keeping rules.</li><li>Preparing operational reports for management on bookings and quotes by suburb and service, quote conversion, recurring commercial clients, team productivity and job costs, and providing management with the information and interpretation needed for day-to-day decisions.</li><li>Assisting management with planning, reporting and organisational projects, such as capacity planning for peak bond-cleaning periods, pricing reviews, commercial tenders and the introduction of new services, by gathering and analysing the relevant information.</li><li>Analysing business processes across scheduling, quoting, service delivery and administration, identifying bottlenecks, duplication and delays, and quantifying opportunities to improve efficiency.</li><li>Reviewing existing administrative and information-management processes and recommending improvements to management, including changes to the booking platform, record-keeping practices and reporting routines.</li><li>Assisting with the development, documentation and implementation of business procedures and workflows, including service procedure manuals, onboarding guides for cleaners, stock and equipment procedures and quality checks, and training staff in their use.</li><li>Coordinating the flow of information between management, office staff, cleaning teams, suppliers and clients, so that job requirements, schedule changes and client feedback are communicated promptly and recorded.</li></ul><br><h3>Qualification & experience</h3><ul><li>Bachelor's degree or higher in Business Administration, Information Management, Marketing, Commerce or a related field; &nbsp;or equivalent professional experience in information management, organisational systems or business operations.</li><li>Minimum 1 year in a role organising and analysing business, purchasing or operational information.</li><li>Strong Excel skills and experience working with business information or management systems.</li><li>Demonstrated ability to analyse operational data and prepare clear reports and recommendations.</li><li>Strong organisational, analytical, communication and reporting skills, with accuracy and attention to detail.</li><li>Ability to work with management, field teams and clients and to handle confidential information.</li></ul>
